Hiring out Horses

This guide will tell you exactly what paperwork you need to submit with your application and direct you to further information you should read before your inspection. 


What documents do I need to submit?

It is important that you submit all of the below documents with your application as they are mandatory requirements of the licence. 

You may choose to present the documents slightly differently to how we have recommended - this is fine as long as all of the required information is clearly presented. Your policies and procedures should provide a snapshot of your business and detail how you meet all of the Licence conditions. 

You must submit: 

  • A plan of the premises
  • Insurance policy (minimum £5million)
  • Standard operating procedures, including:
    • Cleaning Procedures
    • Feeding Procedures
    • Transportation Procedures 
    • Rider Assessment Templates
  • Preventative Healthcare Plan, including:
    • Biosecurity plan 
    • Annual grassland/pasture management 
    • Isolation of a horse for up to 21 days
    • Vaccination plans
    • Use of current anthelmintics alongside faecal egg counts where needed
    • Monitoring of weight and BCS
    • Details of routine dental visits
    • Details of farrier visits (where applicable)
    • All other measures employed to prevent the spread of disease
    • This must be signed off by your Registered Vet.
  • Monitoring and Ensuring Health and Welfare Procedure, covering:
    • Usual housing for the horses
    • Addition of horses to the group 
    • Monitoring of the horses 
    • Addressing and recording abnormal behaviour/illness
  • Emergency response plan, covering:
    • Death of an animal (including storage of the carcass)
    • Escape of an animal
    • Fire
    • Extreme weather
    • Breakdown of essential systems
    • Revocation/Suspension of the licence
    • Accident policy (humans and animals)
    • Accidents during transportation of horses
    • Euthanasia 
    • Emergency keyholders 
  • Qualifications, covering:
    • Training Records
    • Training Policy for staff
    • Continued Professional Development

What else should I do to prepare for my inspection?

You should make sure you are familiar with the conditions of the licence to demonstrate how you meet them.
